What you are probably seeing
Your dashboard shows a mix of tools but identity management still relies on US-based infrastructure. You notice that when you try to move email or files, the SSO login breaks or users cannot access shared resources.
You see that your IT team spends extra hours fixing permission errors because the new platform does not speak the same language as your existing directory. The lack of unified policy enforcement means you have to check who can do what manually.
Why it happens
European alternatives like Proton focus on privacy and core utilities such as mail and cloud storage. They do not yet offer the deep integration with complex enterprise policies that Microsoft 365 provides. This creates a gap where your users can log in but cannot navigate your internal structure.
Microsoft 365 uses a complex identity graph that supports conditional access and device compliance. Most European SaaS providers still use simpler authentication methods that do not sync with your existing hardware or security rules. This makes a full migration difficult without building custom bridges.
What changed recently
Step by step
1. List every SSO rule and conditional access policy you currently use in Microsoft 365 and export the data. Check which of these rules have direct equivalents in the European SaaS platform you are testing. Identify any gaps where a policy does not exist in the new system. Plan how you will enforce those missing controls manually or through a third-party tool. Test the migration with a small group of users and monitor their access logs for two weeks. Review the logs to confirm that the identity handoff worked without breaking their daily workflow. Adjust your local policies based on the errors found in the test group.
